BUCS RULES & REGULATIONS


Hello and welcome to all new BUCS team captains

There will be a BUCS Captains (Wednesday afternoon captains only) meeting in Week 2 of term 1 - It is a fantastic opportunity to gather all the facts you will need to know for the coming year.
To ensure the BUCS Wednesday games go without a hitch we have put together a guide for you. If you have qualified drivers please give a list to us as soon as possible.
ALL members of the team have to be fully paid up members of your club otherwise they are NOT insured AND are breaking BUCS rules as ineligible players.
 
PITCHES&FACILITY BOOKINGS
Pitch and facility bookings for Home BUCS matches are automatically made for you by the Sports Administrator and each week you will be sent information on your BUCS fixtures. Field team sports will generally start at 2pm at Cryfield.
 
TEAM SHEETS
All teams, whether playing HOME or AWAY, will have to fill in team sheets. Please bring completed team sheets (full names not nicknames as we need these for Insurance purposes) to the Warwick Sport Office before your HOME games commence or if going AWAY before your transport departs and leave them in the in tray.  Alternatively please email them to j.n.barr@warwick.ac.uk
 
TRANSPORT
Warwick sport will cover all BUCS Travel expenditure for teams that travel to their fixture or competition using their own vehicles or self-driven University hired vehicles. Teams provided with a driver from an external company will be charged a flat fee of £25 per journey to cover the driver’s expenses. This charge will be taken directly from the clubs own money account after the journey. Any teams that cancel or give a walkover will be liable for any travel cancellation charges (Please note this can be substantial).
 
If you are intending to make your own arrangements (i.e. personal cars [you must register your car though] or train) to your games please let the sports administrator know. You can also hire self drive cars, people carriers and minibuses from Warwick Sport or University Transport. Please note all drivers driving a hired vehicle must register for for a Driver's Card from SUHQ Admin Office at least 5 days before travel. 
 
You can claim back any costs incurred for travel from Warwick Sport to BUCS Fixtures - please do this on a money request form quoting "BUCS Travel" in account name and attach all supporting evidence (ie train tickets, fuels receipts*, mileage details). * stipulate - dates of travel, estimated mileage and reason for journey and destination
 
It is your responsibility to inform the team of meeting and departure times. We would suggest you write this on the team sheet. The transport will usually depart from Rootes Bus Stop or the Sports Centre.
 
PLAYING UNDER PROTEST FORMS AND BUCS BOOKS
All teams playing AWAY should take a Playing under Protest Form with them. These are collectible from the Warwick Sport Office. ALL PREMIER LEAGUES TEAMS should take a copy of the BUCS handbook to all fixtures or a photocopy of the relevant sections.
 
 
Please read the BUCS Handbook and be aware of rules and regulations. Particular important sections are Fixture Administration and Postponed and Abandoned Matches.

MATCH DAY ATTIRE
Would all teams entering BUCS ensure they dress smartly on match days i.e. jacket, shirt, ties, trousers (for men), blouse, skirt/trousers for women, NO JEANS. Kit on match days - Don’t forget to make sure all kit has been washed and it is your responsibility to make sure your team look smart - i.e. socks and shorts match and are clean. Kit Collection As with last year, each club captain takes responsibility for the team kit. Washing is also accountable to each club. Any further issues regarding kit will be discussed at the general meeting. If there is a kit colour clash it is the responsibility of the home team to change their kit. WARWICK COLOURS ARE BLUE AND WHITE. WITH RED AS A REVERSE KIT OPTION!
 
FIRST AID

Cryfield Pavilion - Wednesday fixtures
Warwick Sport have arranged a contract with Event Medical Services to provide first response to all teams competing at Cryfield on a Wednesday afternoon.  There will be two trained paramedics onsite between 1 - 5pm who will follow University procedures in terms of requesting ambulances if required. 

Westwood Artificial Pitches 1 + 2 - Wednesday fixtures
Warwick Sport will employ a dedicated first aider to work on the Artificial pitches covering hockey matches on Wednesday afternoons.  They will administer first aid and advice in the first instance then refer individuals to the Games Hall or to Security if further treatment is required.

MATCH OFFICIALS
It is the club's responsibility to organise match officials and their subsequent payment. To reclaim money paid out by the club from Warwick Sport for BUCS match officials please complete the match official invoice and submit with a money request form to the Warwick Sport Office quoting "BUCS Officials" in account name .  
 
FOOD
Warwick Sport no longer provides food for opposition teams except for outdoor cricket teams.
 
ACCOMMODATION
Warwick Sport will contribute £10 per person per night for accommodation relating to performing/competing for the University of Warwick in BUCS competition when the cost of accommodation is more than £10 per person (hotels for instance). If the cost of accomodation is less than £10 per person (camping for example) warwick sport can cover the entire cost of accommodation (you cannot claim £10 per person if the costs is less than this)  This is however at the discretion of the Sports Administrator and it is advised you inform the Sports Administrator prior to any overnight stay. To apply for this contribution you need to claim back the full cost of accommodation on a money request form using your club trips&tours accommodation costs account. After all accommodation costs have been paid you will then need to submit an internal transfer (transferring money from warwick sport to the club) form detailing the competition dates/venue, costs already paid for and a list of competitors claiming what (see below). RESULTS
BUCS requires results by 5pm for Premier HOME games and all other teams by at the latest 10am on Thursday morning. Please text the WS Mobile on 07876218148 after the game. (Please store this number on your phone) Please ensure you text a clear message stating your sport, your team, your opposition and the score for each team.  For example, "Football Mens - Warwick 1s  5 – 0 Coventry 1s "

PARKING AT CRYFIELD
 
Opposition travelling to Warwick 
 
1.       If a team is travelling by coach or minibus they can proceed directly to Cryfield to park or drop off.
2.       If a team is arriving in separate cars there will be no parking at Cryfield and they should head to Car Park 4 or Car Park 15 where they will need to pay a fee.
3.       Warwick Campus is being patrolled by an external enforcement agency so cars parked illegally will be ticketed.
 
Warwick Students - no cars will be admitted to the Pavilion Car Park on a Wednesday as all spaces will be reserved for visiting teams coaches and minibuses.
 
BUCS ENTRIES&AFFILIATIONS
 
All affiliations and entries to BUCS Competition (Team&Individual) are fully subsidised by Warwick Sport. Entry for Wednesday afternoon team sport will be arranged for the season by the Sports Administrator. Information on one off competitions and tournaments can be found on the BUCS Website and will be emailed to the club email accounts throughout the year. If your club or members want to enter a competition please read through the entry information and contact the sports administrator to complete  the entry (this is likely to be online).

BUCS SCORE ENTRIES - The majority of BUCS entries now are online through a new system called BUCS SCORE. For one off event such as weekend tournament or individual championships. A member of the club must submit the entry online. Firstly you need to contact the Sports Administrator Joe Barr on tel 02476 575115 or email j.n.barr@Warwick.ac.uk he will then set you up as a "Team Administrator" on BUCS Score - you will be emailed and you will have to register on the site.  You will then need to go to "Sports Clubs" and select your sport. You then have to add all the people you want to enter the BUCS competition (you can import people using excel) - following this you need to click "individual entries" go to the correct competition and complete the entry sheet. Once you have finished contact the sports administrator who will complete the entry. The sports administrator then will email you a confirmation of what has been entered. After you have submitted the entry please check on the bucs website under your sport for pre competition details.
