WHAT DO I NEED TO DO WHEN I COLLECT and RETURN THE VEHICLE?
Warwick Sport KVR Contracted Vehicles & KVR External Short Term Vehicle Hire
These vehicles will be based in car park 8A (Front of the Sports Centre). Keys for these vehicles will be based at Sports Centre Reception at all times.
The administration of these vehicles will be handled in the Warwick Sport Office so if you have any queries/problems please direct to the office.

Opening Hours
Collection
You will need to bring your Student Authorized Driver’s Card to Sports Centre Reception to collect the keys at all times. A Sports Centre Attendant will issue you the keys along with the accompanying paperwork relating to your journey (please be sure to check this paperwork as it may have vital information). Before collecting the keys you will need to inform the attendant what club you are from and the destination of your journey, if possible please bring your vehicle hire confirmation sheet with you – this will speed up the process of issuing the keys. You will be required to leave your driver card with the attendant and sign for the vehicle.
Return
All vehicles should be returned to the Sports Centre and parked in specified parking spaces. You then need to hand the keys/accompanying folder to an attendant at Sports Centre Reception, in return you will receive your driver card. If you return after the Sports Centre is closed then park the vehicle in a space and return the keys/accompanying folder to the Sports Centre letterbox. (Failure to do this may result in another club being unable to travel). You will however need to collect your driver card at another time.

University Transport/Porters Vehicle Hire
These vehicles are based at Post & Portering Services Westwood. The administration of these vehicles is handled by the porters. Any queries or problems relating to the vehicles please direct to them.
Collection
University Transport has three collection points:

Post & Portering Services, Westwood between 8:00am – 17:00pm Monday – Friday

Univeristy House Reception/Car Park – after hours and the weekends

The main gatehouse (on the odd occasion - you will be advised)
You will need to bring your Student Authorized Driver’s Card with you to get the keys, the card itself will need to be left with the porter. The driver will then be instructed by the porter on the completion of the paperwork ie. Vehicle allocation sheet and log book.
Return
All details relating to returning the vehicle will be on the vehicle allocation sheet – please ensure you follow these instructions carefully. All vehicles that are returned to Westwood must be parked in the allocated area and the keys and vehicle allocation sheet are to be placed in the letterbox in the door of the Postroom. All vehicles that are required at the weekend are to be parked at the rear of University House near to the area of the loading bay.
Remember if you put any fuel in the vehicle to get a refund from the porters.
Estates Minibus Hire
The administration of these vehicles is handled by Graham Hine Transport Manager. Any queries or problems relating to the vehicles please direct to him.
The arrangements for collecting and returning the minibuses and conditions of hire are as follows;
1. Minibus and keys to be collected from the Builders Yard at Gibbet Hill Road. If collected at 1100 hours an Estates driver will be available in the Drivers Room (black door with letterbox to the right of the Builders Yard). If collected at 1200 hours the keys will be left in the minibus above the driver’s sun visor.
2. Minibus to be returned to the Builder’s Yard at Gibbet Hill Road, locked and the keys deposited through the letterbox of the Driver’s Room door. If the barrier to the Builders yard is closed, park the minibus in the pull in (lay-by) directly outside the Medical School Building at Gibbet Hill Road, lock the minibus and deposit the keys through the letterbox of the Driver’s Room door.
3. Minibuses must be returned with the interior clean and tidy and with at least half a tank of fuel.
Remember if you put any fuel in the vehicle to get a refund from Graham Hine in the Estates Office.
